We Translate Ltd (“We-Translate”, “we”, “us”, “our”) is a company registered in England and Wales. Our registered office is at Kings House, 36–37 King Street, Watford WD18 0BW, United Kingdom.
For the purposes of the UK GDPR and the Data Protection Act 2018, We-Translate is the data controller of personal information you provide to us.

Information we collect
We collect information in three ways.
Information you give us directly. When you request a quote, book a service, apply for a role, or contact us, we may collect your name, organisation, email address, phone number, billing details, and any details about the interpreting or translation service you need.
Information we collect automatically. When you visit our website, we use cookies and similar technologies to collect technical information — your IP address, browser type, pages visited, and time spent on the site. This helps us understand how our site is used and improve it.
Information from third parties. If you're referred to us by a partner organisation, we may receive your contact details from them to fulfil the service they've arranged on your behalf.
How we use your information
We only use your personal data for specific, lawful purposes.
To provide our services. Matching you with the right interpreter or translator, delivering the service, and handling billing.
To communicate with you. Responding to your enquiries, sending service confirmations, and — only if you've opted in — occasional updates about our services.
To improve our service. Understanding how clients use our website and what they need, so we can serve them better.
To meet our legal obligations. Including tax, anti-fraud, and regulatory requirements.
We never sell your personal data to third parties. Ever.
Our legal basis
Under UK GDPR, we must have a lawful basis for processing your data. Depending on the situation, we rely on:
Contract — when we need your data to provide a service you've requested.
Legitimate interests — for improving our services, preventing fraud, and keeping our business running, where this doesn't override your rights.
Consent — for marketing communications and non-essential cookies. You can withdraw consent at any time.
Legal obligation — where we're required by law to process certain information.
How long we keep it
We keep your data only for as long as we need it. Typical retention periods:
Client records: 7 years after the last engagement, to meet UK accounting and tax obligations.
Enquiry data: 2 years from your last contact, then deleted.
Job applications: 12 months if you're unsuccessful, unless you ask us to keep your application on file longer.
Marketing contacts: until you unsubscribe.
Your rights
Under UK GDPR, you have the right to:
Access — request a copy of the personal data we hold about you.
Rectify — correct any inaccurate or incomplete data.
Erase — ask us to delete your data (subject to legal retention requirements).
Restrict — limit how we use your data.
Object — to specific uses, including marketing.
Portability — receive your data in a machine-readable format.

If you're unhappy with how we've handled your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
How we protect your data
We take security seriously. We use industry-standard encryption for data in transit (TLS/SSL) and at rest. Access to personal data is strictly limited to staff and linguists who need it.
All our linguists are DBS-checked where required and bound by signed confidentiality agreements.
In the unlikely event of a data breach affecting your rights, we'll notify you and the ICO within 72 hours as required by law.
Changes to this policy
We may update this policy occasionally to reflect changes in our practices or the law. The “Last updated” date at the top of this page shows when it was last revised. For significant changes, we'll notify you by email where we have your address.
